At CEDB, we understand how important the privacy of your information is to you and we are committed to ensuring the confidentiality of your personal information. This Privacy Statement tells you how we manage and protect personal information.

The information in this page details how we ensure our customer privacy commitment in protecting the personal information we hold about you and how we observe our Privacy Principles as well as our obligations of confidentiality.

Personal information is information or an opinion, whether true or not and whether recorded in a material form or not, about an individual whose identity is apparent, or can reasonably be ascertained, from the information or opinion.

When you apply for a new product or service, the application form includes notices about privacy and requests for consent. Those privacy notices specify in more detail how any information about you may be used and disclosed in relation to the particular product or service.

When you apply for or use one of our products or services, you consent to us collecting, maintaining, using and disclosing personal information about you and provided by you or by another person in accordance with the privacy statement in the application form and this policy.

This privacy policy does not apply to parties that may be linked or associated with our website. Those website owners are responsible for the privacy of the information they collect and should be contacted directly for details of their privacy policies.

We will tell you the main reason for asking for your personal information when we seek it from you. The main reason will usually be to provide you with a product or service you want. Personal information is collected so that we may:

  • check whether you are eligible for the product or service
  • provide you with the product or service
  • help manage the product or service, for instance:
    • When you make a query about it
    • When we want to contact you about changes to it.

We may use personal information for other reasons, including:

  • telling you about products or services that we think may interest you (unless you tell us not to – which you can do at any time)
  • preventing fraud and other criminal activity in relation to your accounts
  • Helping us to run our business. This will include using information for:
    • Training our staff
    • Accounting, risk management, record keeping,
    • Archiving, systems development and testing
    • Developing new products and services undertaking planning, research and statistical analysis.
    • Predicting the borrowing behavior of customers generally
  • We may also ask for your personal information because we are required to collect it for legal reasons. For example, legislation such as the Anti-Money Laundering and Counter-Terrorism Financing Act may require us to ask you for information to check your identity (e.g. by referring to your citizenship or passport).

We do not actively seek to collect sensitive information (for example health information or any criminal record), unless it is necessary for our business purposes. If we do have to collect sensitive information, we will inform you accordingly.
All information sought is required for our business purposes, which are detailed generally in this privacy policy and more specifically in our application forms or on web pages which allow you to contact us. You need not give us any of the personal information about you or any other person which may be requested in our communications with you. However, without that information, we may not be able to process an application, fulfill your request or provide you with an appropriate level of service.
We collect and hold information about you when you:

  • Complete an online application or other type of form;
  • Provide us with your email address; or
  • Access and use our services through our website.
  • Post a link to our website on Face book or Twitter, we will not collect or hold any information you enter.

Where it is necessary to do so, we also collect information on individuals such as:

  • trustees;
  • partners;
  • company directors and officers;
  • officers of co operatives and associations;
  • Customer’s agents; and persons dealing with us on a "one-off" basis.

We may take steps to verify the information we collect; for example, a birth certificate provided as identification may be verified with records held by the Registry of Births, Deaths and Marriages to protect against impersonation, or we may verify with an employer that employment and remuneration information provided in an application for credit is accurate.

Generally, we keep a record of one or more of the following types of information about you:

  • information that identifies you, such as your name and address and other information provided by you and people nominated by you;
  • if you apply for a loan or credit card or guarantee another person’s loan, credit information about you and property reports about any property which secures your obligations to us;
  • if you apply for insurance, information about what is being insured (including health information about you, your income and occupation if you are requesting life, health or accident insurance), information about your beneficiaries and information about property owned by you if you are requesting some type of property insurance;
  • Account transaction information including credits and debits or claims information for insurance products.

By and large, we will get your consent before we tell anyone about you, your accounts or your credit information. You can give us your consent expressly or it may be implied by your conduct.
Sometimes the law requires us to give out information about you. For example, we must tell the Tax Office how much interest we pay you. Another example is giving your account details to a court if we are ordered to do so under official directive.
Depending on the product or service that we provide to you, if it is necessary we may also disclose your personal information to:

  • Brokers and agents who refer your business to us;
  • Valuators and insurers if you are borrowing from us to purchase property (so that we can obtain a valuation of your property, and confirm that it is insured);
  • Affiliated product and service providers and external product and service providers for whom we act as agent (so that they may provide you with the product or service you seek or in which you have expressed an interest);
  • Auditors we appoint to ensure the integrity of our operations;
  • Auctioneers (if we have to sell a property we hold as security to recover moneys owing to us);
  • Real estate agents (to confirm details of a property you are purchasing or if we have to sell a property we hold as security. We will not, however, without your specific written permission, confirm to real estate agents the outcome of your application for finance);
  • Lenders’ mortgage insurers (if we have to take out insurance because of the amount you are borrowing exceeds a certain percentage of the property’s value)
  • Any person acting on your behalf, including your financial adviser, solicitor, settlement agent, accountant, executor, administrator, trustee, guardian or attorney;
  • Your referee (to confirm details about you);
  • If required or authorized to do so, regulatory bodies and government agencies;
  • Credit reporting agencies
  • Insurers, including proposed insurers and insurance reference agencies (where we are considering whether to accept a proposal of insurance from you and, if so, on what terms);
  • Claims assessors and investigators,
  • Claims managers, builders, architects and
  • Engineers, and reinsurers (so that your
  • Claim can be assessed and managed);
  • Medical practitioners (to verify or clarify, if necessary, any health information you may provide);
  • Other financial institutions and organizations at their request if you seek credit from them (so that they may assess whether to offer you credit);
  • Suppliers from whom we order goods on your behalf (so that the goods may be provided to you);

However, we will not disclose your health information or information about your medical history unless you tell us to.

We strive to limit the information we give these organizations to what they need to perform their services for us or provide products or services to you. We also enter into contracts with organizations who provide services to us or who provide products or services jointly with us. These contracts require the organization to:

    • Meet the privacy standards we set for ourselves in protecting your personal information and comply with our Privacy Policy.
    • Use the personal information only for the specific service we ask them to perform or the product/ service that we ask them to provide, and for no other purpose.

We are committed to keeping secure the personal information you provide to us and declare to use up-to-date techniques and processes, which meet current industry standards, to protect your personal information from misuse, loss and unauthorized access, modification or disclosure.

Our security measures include, but are not limited to:

  • Educating our staff as to their obligations with regard to your personal information;
  • Making every effort to minimize the opportunities for other people to overhear any conversation we have with you when you discuss your finances and personal information with us
  • Having physical, electronic and procedural safeguards to protect your information which is held by us. For e.g. your personal information is stored in secured office premises and in electronic databases requiring logins and passwords for access. Access to information stored electronically is restricted to staff whose job purpose requires access. We require all staff to maintain the confidentiality of customer information;
  • Maintaining up-to-date computer and network security systems with appropriate firewalls, encryption technology and passwords to protect electronic copies of personal information;
  • Employing physical and electronic means such as alarms, cameras and guards (as required) to protect against unauthorized access to buildings;
  • Any visitor, for any purpose, to any part of our premises in which customer personal information is kept is required to be accompanied by a member of staff while in the premises;
  • We use secure methods to destroy or de-identify any personal information as soon as the law permits, provided the information is no longer needed by us for any purpose. Ordinarily, for information about a particular account, we destroy the information 5 years from the date you close the account.

You can request access at any time to personal information we hold about you. We will process your request within a reasonable time frame, depending on the nature of the request. There is no fee for requesting access to your information; but again we may charge a fee depending upon the nature of the request. Sometimes, we are prohibited to provide you with access - for example, if the law says we must deny access. If we refuse you access to your personal information, we will notify the reason without delay.

The accuracy of your personal information enables us to provide you with the best possible service and assistance. We take reasonable steps to ensure that your personal information is accurate and up-to-date whenever we collect or use it. If you find that current personal information we hold about you is inaccurate or out-of-date, please contact us immediately and we will correct it within a reasonable time frame.

We may amend this policy from time to time and for any reason. Any changes to our information handling policy will be published on our website by updating those changes on this page. This document is dated April 2011.
